AFTER ACCEPTANCE

A status update should tell you what changed and what happens next.

Once the offer is accepted, communication should follow actual milestones and protect private borrower information.

Once the offer is accepted, I set a communication rhythm around the actual milestones. I will separate completed work from pending work, protect the buyer's private information, and make a direct call when a financing issue could affect the contract.

The communication standard

A useful update answers four questions:

  1. What has been completed?
  2. What is still pending?
  3. Who owns the next action?
  4. Could the issue affect a contract date or decision?

It does not say "all good" when material work remains. It also does not disclose the buyer's financial details to people who do not need them.

New forms are paused. Call or email without borrower documents or sensitive information.

The milestone plan

1. Application, disclosures, and documents

The buyer completes the required application and disclosures and uses the approved secure process for requested documents. I confirm what is received, what is missing, and what assumptions still need verification.

Agent update: Application stage underway; next action and material missing items identified without disclosing private borrower details.

2. Initial loan review

The lender reviews the borrower, intended occupancy, assets, income, credit, liabilities, transaction, and program requirements at the appropriate stage.

Agent update: Initial review status, current open items, and whether the known contract dates still appear workable.

3. Property, appraisal, insurance, title, and association work

The appraisal and other property work proceed under the loan and company process. Insurance, title, escrow, HOA/project, repair, or property questions may run in parallel.

Agent update: What has been ordered or received, what remains pending, and any issue that needs the agent's attention.

Do not describe the appraisal as a home inspection or promise value or property acceptance.

4. Conditional review

A conditional approval or review can require additional borrower, property, title, insurance, appraisal, contract, or third-party items.

Agent update: Conditions are being addressed; identify transaction-facing items and dates without exposing private borrower information.

Conditional is not final.

5. Conditions cleared and final loan steps

The lender completes remaining verification and final review under its process. Material changes can still require another review.

Agent update: Current status, remaining closing prerequisites, and any date risk that the parties need to discuss.

Do not use "clear to close" unless that exact status is authorized and accurate.

6. Closing figures, signing, funding, and recording

The buyer receives required closing information, completes any remaining funds and signing steps, and the transaction proceeds through the lender, settlement, funding, and recording process.

Agent update: What is scheduled, what remains a condition, and which party controls the next action.

Signing is not the same as funding, and funding is not the same as recording.

When I call instead of sending a routine update

I make a direct call when a known issue may affect:

  • the financing or appraisal contingency
  • requested seller credits or contract terms
  • buyer cash-to-close
  • property eligibility or required repairs
  • insurance availability or cost
  • title, ownership, occupancy, or association review
  • a scheduled signing, funding, or closing date
  • the buyer's ability or decision to continue.

The goal is not to alarm the transaction. It is to give the responsible people enough time to discuss real choices.

What agents can help with

Buyer and listing agents can move the transaction by:

  • sending the complete executed contract and addenda through the approved channel
  • identifying contract deadlines and any seller, escrow, title, HOA, repair, or access dependencies
  • coordinating property access
  • communicating credits, price changes, repairs, concessions, or contract amendments promptly
  • keeping legal and negotiation decisions with the agents, brokers, clients, and legal professionals
  • avoiding new promises based on an informal status update.

Privacy and permission

The buyer decides who may receive financing updates, subject to law and company policy. An agent can receive useful transaction status without receiving the buyer's income, assets, credit, account details, documents, explanations, or other nonpublic personal information.

A status update should be proportionate to the recipient's role. If an agent needs a specific fact, I will confirm whether it can be shared and whether the buyer's permission is required.

Status language that means what it says

Better

  • The initial review is complete. The file still has listed conditions and required property work.
  • The appraisal has been received and is under the required review.
  • The current target remains [date], subject to the remaining conditions and closing steps.
  • A material issue came up that may affect [contract item]. I am calling the authorized parties now.

Avoid

  • You're good.
  • It's a done deal.
  • The appraisal passed.
  • We will definitely close Friday.
  • Clear to close before that status is accurate and approved for communication.
  • The buyer is fine without explaining the relevant stage.

Change control

The buyer should check with the loan officer before making a material financial or employment change during the transaction. Examples can include new debt, new credit, large transfers, moving funds, changing jobs, changing compensation, altering occupancy, changing the contract, receiving new gift funds, or taking another action that affects the documented file.

This is not a command to freeze the buyer's life. It is a reminder to ask before a change creates an avoidable problem.

How often will agents receive updates?

Nick and the authorized parties should agree on a cadence that fits the transaction and company policy. Update timing varies with the transaction milestone, the parties authorized to receive information, and applicable company policy.

Can the listing agent receive updates directly?

Appropriate transaction status may be shared when authorized and permitted. Private borrower information remains protected.

Does a conditional approval mean the loan is done?

No. Conditions and required final steps remain, and material changes can affect the review.

Is a signed closing package the same as a funded or recorded transaction?

No. Signing, funding, and recording are distinct steps controlled by the transaction's actual process.
